Welcome to O.L.I. Advocacy, LLC ("we," "us," or "our"). These Terms of Service (“Terms”) govern your use of our website and services. By accessing or using any part of O.L.I. Advocacy, LLC, you agree to be bound by these Terms.

1. Services Provided

O.L.I. Advocacy, LLC offers virtual consulting and advocacy services for pediatric patients and their families. Services include:

  • Medical record reviews

  • Appointment coaching

  • Emotional support and mentorship for caregivers

All services are educational and advocacy-based and do not constitute medical care, diagnosis, or treatment.

These services are provided via phone, email, and video conferencing platforms such as Zoom or FaceTime.

2. No Medical or Legal Advice While the founder is a licensed registered nurse, O.L.I. Advocacy, LLC does not act as your medical provider or offer medical diagnosis, treatment, or legal services. All guidance is for educational and advocacy support purposes only. You should always consult your own licensed medical provider or legal advisor for advice specific to your situation.

3. Payment Terms and Records Review

All services are paid at the time of booking through secure Stripe checkout. If payment is not received at least 24 hours prior to your scheduled appointment your session may be cancelled and will need to be rescheduled.

  • Required consent forms must be completed at least 24 hours prior to the scheduled appointment.

  • If records are being reviewed, allow up to 5 business days from receipt for findings to be shared.

  • A follow-up 30-minute phone call will be scheduled to review the findings.

4. Scheduling & Cancellations Appointments are made via our website. Cancellations require 24 hours’ notice.

  • Appointments may be rescheduled with 24 hours' notice.

  • Refunds are available for cancellations made more than 24 hours in advance.

  • Missed appointments or late cancellations are non-refundable.

5. User Eligibility Our services are intended for individuals 18 years or older. Clients must be 18 years or older to use services. Services are intended for caregivers or parents of pediatric patients.

6. Limitation of Liability You agree that O.L.I. Advocacy, LLC is not liable for medical decisions made by your providers or outcomes resulting from healthcare choices. The information shared is for advocacy and educational purposes only.

7. Intellectual Property All content on this website, including text, logos, and graphics, are the property of O.L.I. Advocacy, LLC unless otherwise credited. Unauthorized use is prohibited.

8. Confidentiality and Data Use O.L.I. Advocacy, LLC follows HIPAA-aligned standards and will not disclose any personal health information without written consent. See [Privacy Policy] for full details.

9. HIPAA-Compliant Upload and Data Security

We use a HIPAA-compliant encrypted email service (Hushmail) to securely collect your child’s medical records. All communications via email are encrypted in transit and at rest. O.L.I. Advocacy, LLC has a signed Business Associate Agreement (BAA) with Hushmail to ensure full legal compliance.

Privacy Policy

  • Child’s medical history (as voluntarily provided by you)

  • Appointment details

  • Any uploaded or emailed records and/or files (e.g., consent forms, medical records)

  • Provide advocacy services

  • Review medical records

  • Schedule and manage appointments

  • Improve our website and offerings (e.g., via Google Analytics)

3. Health Information & Confidentiality If you choose to share personal health details, you will be asked to sign a HIPAA-compliant consent form. You will also have the option to:

  • Allow your information to be saved for follow-up services

  • Request that all information be deleted or shredded after services are rendered

We take all reasonable precautions to keep your data secure.

4. Data Storage & Protection

  • All information is stored securely

  • Only necessary data is retained

  • Records may be shredded or deleted at your request

  • No data is shared with third parties unless legally required or with your explicit consent

5. Cookies and Tracking Our site may use cookies and tools like Google Analytics to monitor performance and understand user interactions. You may disable cookies in your browser settings.

6. Sharing of Information We do not sell or share your personal information with third parties except as required by law.

7. Secure Medical Record Submission (HIPAA-compliant)
To collect your child’s personal health information (PHI) securely, we use Hushmail’s HIPAA-enabled platform. When you upload records via our email, your data is:

  • Encrypted in transit and at rest

  • Held on an isolated HIPAA server

  • Accessible only by authorized O.L.I. Advocacy personnel

  • Protected under a signed Business Associate Agreement (BAA)

  • Stored securely and shredded or deleted upon request

By using our secure email, you consent to this method of secure data transmission and storage.

8. Data Retention abd Destruction Policy: Because O.L.I. Advocacy, LLC records include information about minor chilren we retain case files for a minimum of 7 years, or until the child reaches age 21, whichever is later. This aligns with Texas medical/legal precedent. Clients may request early destruction of their records in writing, provided it does not conflict with legal or ethical obligations. All data is stored securely and handled in accordance with HIPAA-compliant practices.

9. Your Rights You may request to:

  • View the data we have on file

  • Correct inaccurate information

  • Delete or destroy the personal health information stored
